Please plan to arrive early to allow time for check-in.
ACCESS GATE OPENS AT 7:00AM
. If you need to set up earlier, please contact us in advance to discuss special arrangements. In very special cases it may be possible to set up the day before the event. However, THERE IS NO OVERNIGHT SECURITY.
PLEASE NOTE: Vendor Gate closes at 10:30am.
You must arrive prior to 10:30 in order to get in.
Your booth must be set up by 10:30am at the latest, for inspection
(the Board of Health inspects all booths)
Our greeters will supply you with a Vendor Parking Permit to display on your vehicle's dashboard. We have room in the designated vendor parking area for one vehicle per vendor.
Only vehicles that are an integral part of the booth are allowed to remain inside the festival area. Transport vehicles will be directed to the Vendor Parking Lot after unloading.
Most Vendor fees include admission for two people (20x20 Main Meal food booths = 4 people). There is a fee for additional personnel.
LOAD-OUT is at 7:00pm(Sat) and 6:00pm(Sun), when the festival closes. Access gate is closed until then.
See the Vendor Coordinator if you absolutely need to leave early.
For security reasons, there is a standard policy of No Readmission once a person leaves the festival grounds. If you need to exit and return, please make special arrangements with the Vendor Coordinator so that you will be allowed back in.
No Alcohol or Controlled Substances may be brought in. Containers, Bags and Backpacks are subject to search.
BOOTH SPACE & AMENITIES
Porta-Potties are conveniently located at various places inside the festival grounds. There is also a hand-washing station near the brew tents.
You must provide your own canopy (except for Brew Table and Craft Table spots). Positioning is at the discretion of festival coordinators. We try to accommodate special requests.
8-foot banquet table and chairs can be provided for an additional fee – Please see the application for details.
ELECTRIC HOOKUP can be provided for an additional fee – Please see the application for details.
All generators must have quiet operation.
No live flames or heaters are allowed in the "craft vendor" area. If your booth requires one of these, please discuss options with the Vendor Coordinator.
You are responsible for your own cleanup and trash.
NO DUMPING
of liquids, water, grease or food waste is allowed. Failure to follow these requirements may result in a fine of up to $100 per violation and/or disqualification from participation in future events.
ITEMS TO BE SOLD
All items sold at the Festival must be legal and within the family-oriented nature of the event.
Sales Tax collection is the responsibility of the Vendor.
NO WATER
– Water is being sold by Rotary as a fundraiser.
NO PINT GLASSES
or other glass beverage containers allowed.
NO WEAPONRY
- All weapons are prohibited, including collectible knives.
NO ITEMS RELATED TO MARIJUANA or illegal drug use.
NO POLITICAL OR RELIGIOUS ADVERTISING.
Event Trademarks
- You may not sell products bearing the festival's name or logo without prior permission and license.
No
Games of Chance
(other than raffle drawings) permitted at vendor booths without prior approval.
ANY GLASS ITEMS
that are sold (other than jewelry) must be wrapped and bagged.
ALL FOOD ITEMS
TO BE SOLD OR DEMONSTRATED REQUIRE PRIOR PERMIT FROM THE WESTFORD BOARD OF HEALTH. Permit fees are the responsibility of the individual vendor. Food Permits must be obtained at least two weeks prior to the event.
Tobacco Sales
by special permit only. License required by town. No smoking or demonstration of tobacco items without prior approval. Special booth position is required by Westford Board of Health.
No vendor may display, sell or demonstrate consumable alcoholic beverages without approval. Sale and demonstration of alcoholic beverages is limited to Brewers and certain designated Beverage Sponsors.
DRINKING GAMES - Game materials may be sold; however, Vendors must not encourage consumption of alcoholic beverages at their booth, or anywhere on site at our festival, as a result of playing a game.
The Westford Rotary Club reserves the right to inspect, and approve or restrict all items being sold. Misrepresentation on the part of the vendor/exhibitor may result in cancellation of space and loss of fee.
SECURITY
Everyone at the Blues'N'Brews festival MUST wear a wristband; this includes vendors & exhibitors. Your wristband indicates whether you are of legal drinking age. You must present a photo ID to get a drinking age wristband.
You are responsible for all property (including cash, coin & currency) at your booth.
Security volunteers will be positioned in various places throughout the festival, and may be easily identified by their uniform (Security hat and t-shirt). If you need their services, please ask for their help.
Please be alert and report any suspicious activity to security immediately.
SAFETY
EMT Personnel and Ambulance will be on premises during the event. If you experience any accident, heat sensitivity, pain, confusion or other medical situation, please immediately notify the nearest security person.
Please be extra careful when lifting, carrying or positioning heavy objects, for your own safety as well as the safety of others.
MISCELLANEOUS
Pets (other than assistance dogs) are not allowed.
The venue is handicap accessible.
Overnight camping may be allowed on site, but requires prior approval and special permits. Please inquire well in advance.
SMOKING IS NOT PERMITTED WITHIN 30 FEET of buildings, food prep and eating areas, per order of the Westford Board of Health.
Please comply with all
Festival Rules & Regs
regarding proper conduct. Any violators will be asked to leave, and if necessary, escorted off the premises - this includes vendors.
